Pilot privacy information

vETD operates this virtual airline website. For privacy questions or requests, contact Will - ETD0001 - [email protected].

Pilot sign-in

When you choose Login with vAMSYS, vAMSYS signs you in and asks you to authorise the basic identity and pilot profile scopes. We use your pilot ID, airline ID, pilot username and active membership status to establish your session and control access to restricted pages. We read your current bookings when you use the flight-booking pages. We do not fetch flight history, network IDs or Discord identity. Although the required basic identity scope can include name and email, this implementation does not fetch or retain those fields.

We retain your pilot ID, airline ID, username and last-seen date in a private member directory so website administrators can search for members and assign website roles. This directory is available only to authorised administrators and is not a full vAMSYS membership roster. Contact the website administrator to request removal of your directory record. We do not receive your vAMSYS password. Access and refresh tokens are kept in the server-side session and are never placed in browser storage or the public website. They are used only to verify your membership and renew your sign-in.

Cookies and retention

An essential session cookie keeps you signed in and protects forms. Pilot sessions expire after 30 minutes of inactivity or eight hours after sign-in. Signing out removes pilot identity and tokens from the session. Expired server session files are removed by the hosting platform’s session cleanup. A staff role assignment retains your airline and pilot ID until an administrator removes the assignment. Hosting security logs may record requests and IP addresses under the hosting provider’s retention settings.

Purpose and sharing

We process these details to provide the pilot access you request and protect restricted areas. The session is handled by our IONOS hosting service; authentication is handled by vAMSYS. The ChatGPT-hosted site mirrors public content and sends restricted pages and sign-in to the IONOS website. It does not receive pilot access tokens or your pilot session. This sign-in feature does not use pilot information for marketing or sell it to others.

Your choices

Sign-in is optional for public pages. You can sign out at any time or withdraw this application’s access through vAMSYS. Contact vETD to request access to or deletion of website-held role information, or to raise a privacy concern. This does not delete your separate vAMSYS account. You may also contact your data protection authority; in the UK this is the Information Commissioner’s Office.

Briefing feedback

Feedback reports retain the airport, brief version, selected section, message, date and signed-in pilot username (or Visitor for anonymous reports). Only authorised website administrators can read the inbox. Do not include passwords or sensitive personal information. Reports remain until the administrator removes them from the stored records.

Flight booking

Your current vAMSYS airport ID is used to prefill departure when available and is held in your pilot session. If you use website flight booking, we request flights:read and flights:write to view your bookings, create a booking you confirm, and attach a SimBrief plan. The pilot:write permission supports explicitly acknowledging airline notices. Booking drafts are held in your server-side session, and their confirmation expires after 30 minutes. Booking records remain in vAMSYS; this website displays them privately for the signed-in pilot. We do not automatically file PIREPs or cancel bookings.
